In theory, every business should know how to communicate well within its teams and with its clients. However, many must catch up on key elements required to achieve this. Here are a few that we follow:

Be Interested

You may have heard this advice for dating or socializing, but it’s also true professionally. A lot of the time, we are eager to talk and fail to listen. Make sure you use meetings to ask questions about pain points and feedback. If it’s internal, you may find colleagues encountering the same problem. You may also discover an innovative solution to add to your process.

Tailor Your Message

As you get to know your team or client, personalize your approach. Learn preferences like contact method or adding detail to areas in reports that spark a particular interest. 

As you get to know your clients, crafting content, meetings, and presentations that speak to them and grasp their attention will be easier.

Be Dependable

Consistency in communications strengthens reliability. These practices allow others to feel they can lean on and know what to expect.

Here are a few ways that we activate the key elements we’ve mentioned above:

Establishing Guidelines and Protocols

For a business to operate well, it must define processes. The protocol should define the required deliverables, the tasks to achieve them, and how to do them. This practice creates a standard and reduces misunderstandings. It helps maintain consistency and quality work.

With guidelines and defined processes, your team might save time trying to complete tasks. Worse than that, clients may not receive what they’ve been promised. 

When processes are clear, teams are confident about their work. With solid deliverables to share, they can focus on building client relationships. 

Using Management Platforms

Where some agencies operate under “need to know” policies, we’ve decided that everyone on our teams needs to know what is happening. 

CEO Daniel Alvarado shares that as they’ve grown, they’ve learned that not including everyone in account communications hurts performance. 

“Instead, what we are doing now is leveraging platforms like Monday to manage communication with clients. That allows our clients and agency partners to tag us within that system and make a request.”

He explains that teams use features to define response times and escalation processes should anything remain pending. Leveraging platforms allows our team to keep everyone informed, hold everyone accountable, and make our work reliable. 

Planning Monthly Status Calls
